Administration

Introduction – our philosophy

We believe that schemes should be managed in partnership with the client and that it is vital that they understand how the administration is being carried out.

Regular and detailed reporting, access to SchemeHub – our web-based scheme management tool, and an annual scheme health check ensure that all parties are kept fully up to date and that any issues and possible improvements can be quickly identified and discussed.

As we specialise in providing services to small and medium sized pension schemes, our clients will often have small pension departments or even none at all. They are therefore looking for a more hands on and proactive approach where we work with them to provide the administration services and to resolve issues in a practical and cost conscious manner.

Cornerstones of our Administration Services

Member experience

In all that we do, we remember that pension schemes have been set up for the benefit of the members and we therefore work hard to ensure that they understand the benefits they are being provided and have the best possible experience.

We achieve this through a combination of highly expert and knowledgeable staff who can readily answer any member queries in a friendly and approachable manner and by constantly reviewing with our clients our communication material to ensure that it is presented in the best possible way.

Working in partnership

We believe in working closely with the client in all aspects of managing their pension scheme. Each scheme is assigned a single client team which will include actuaries and experienced administrators ensuring that the team has:

  • In depth knowledge of their schemes
  • A personal rapport with the client and members
  • Close relationships with and immediate access to actuarial support staff

Access to informed and friendly staff

Our enthusiastic staff have a real passion for the job, which we maintain by keeping them involved in all areas of the business.

The majority of our administration staff are PMI or QPA qualified or are studying for professional qualifications. This compares to an industry standard of less than 25%. Whilst our integrated team approach mean developments can be analysed quickly and the impact on each individual scheme assessed.

Trustee Peace of Mind

The responsibility for ensuring the proper administration of the pension scheme lies with the Trustees. We therefore work with them to ensure that they understand how we are administering the scheme and that they have the necessary information to easily assess how we are performing.

  • Our robust and flexible systems and audited AAF 01/06 and ISO 9001/27001 internal controls procedures ensure best practice.
  • As our team is truly integrated they have access to expertise and experience across the pensions landscape. Work will always be delegated to the correct level, and where appropriate reviewed by a qualified and experienced actuary.
  • At outset we carry out a full data and benefit audit to identify any issues and set out a pragmatic approach as to how they might be resolved. We are experienced at managing difficult schemes (including those that have entered PPF assessment periods) and resolving complicated data issues in a timely and cost conscious fashion.
  • Our systems allow us to monitor and track workflow and so quickly respond to detailed requests for information from members, sponsoring employers and trustees.

We have worked with Atkin Trustees for many years on a wide range of cases and issues. They adopt a sensibly practical approach to trusteeship, focusing on outcomes for members. They’re also a nice bunch of people to work with.
